Volunteer Agreement

The Young European Ambassadors’ Volunteer Agreement (VA) represents the basis of the cooperative relationship between the EU Regional Communication Programme for the Western Balkans (YEA project team - the organisers) and the Young European Ambassadors (the participants). In the context of this project, EU Regional Communication Programme for the Western Balkans acts on behalf of, and represents, the European Commission’s Directorate-General for Neighbourhood and Enlargement Negotiations (DG NEAR). The VA outlines the expectations of both parties in relation to the committed length of time, confidentiality, attendance of trainings, events, activities, and adherence to the project’s policies and procedures. We acknowledge that you may be studying/working, and for this reason, the YEA initiative is designed to be flexible and time conscious.

Details on the number of days/hours/social media activities/activities will be agreed upon in consultation with Ambassadors, prior to the implementation of the actual activity, and in line with all parties’ time and availability.

The Volunteer Agreement establishes a relationship that we hope to be based on mutual respect, trust, enthusiasm, and cooperation.

The EU Regional Communication Programme for the Western Balkans (Young European Ambassadors component) commits to the following:

  • 1 Providing you with Online Visibility
    • You will learn the way to become a truly positive youth influencer – both online and offline – within your community, country, region, and the EU, through our special tailor-made trainings and workshops.
    • You will learn how to conduct interviews, develop campaigns, video materials, and projects using your social media platforms.
    • You will have the opportunity to be featured in our ‘YEA Person of the Month’ campaign.
    • Your online and offline campaigns and initiatives will be promoted by the WeBalkans platforms.
    • Your social media profiles will be included in larger regional online campaigns.
    • You will be featured in the website section under 'Young European Ambassadors'.
  • 2 Ensuring your participation in Youth Events and Projects All the events that relate to travel are subject to the COVID-19 measures in place
    • A minimum of two events per year, organised and implemented by the YEA network for youth in the Western Balkans and the European Union
    • You will participate in conferences and debates on topical issues.
    • You will have access to selected cultural events within the EU and the Western Balkan region.
    • You will participate in study visits to Brussels, or other countries within the EU and the Western Balkans (travel and accommodation expenses covered, COVID-19 regulations in the moment of travel apply).
    • You will help organise and participate in YEA events.
    • You will participate in creative and social projects.
  • 3 Learning and Seminars
    • Capacity building and training in the fields of public relations, communication, presentation, and social media.
    • Debates and EU open days – youth discussions on social and environmental issues, education, minority rights, and intercultural cooperation.
    • Tailor-made courses for artists, music production, film production, photography, social media, sports, and so on.
    • Face-to-face or online training sessions.
    • E-learning modules and online mentoring by expert trainers throughout the project’s duration.
    • You will receive certificates of attendance for communication courses, as well as professional and vocational trainings, and, retain lifetime access to online and hard copy learning materials.

As an Ambassador, by signing the Agreement you are agreeing to a:

  • Substantial amount of activity on social media platforms in relation to:
    • EU topics, EU values, EU events, and diversity in youth lifestyles focusing on the European Union and the Western Balkans. The exact amount of social media content to be produced by YEAs will be defined with the YEA coordinator.
    • Self-promotion with the aim of inspiring positive change within your peer group.
    • Engagement with peers from other EU youth networks via social media.
    • Promotion of all of the YEA’s activities online and offline
  • Ambassadors commit to have Facebook and Instagram profiles, while LinkedIn, Twitter and other social media accounts are not mandatory but welcomed.
  • Ambassadors Social Media Accounts are to be open / public during the involvement through the project.
  • Participation in majority of events, trainings, meetings, interviews, and initiatives organised by the YEA, online and offline.
  • Participation in at least one study trip to Brussels, or to a city in the Western Balkans (all expenses covered) in accordance with rules and regulations in effect due to Covid-19.
  • Provision of peer-to-peer training and the exchange of knowledge (online communication and the sharing of information) to your younger peers, to the best of your abilities.

All Ambassadors will also be agreeing to the following:

  • Showing positivity in sharing information on all of the YEA’s activities and youth initiatives as a true Ambassadors would – both online and offline.
  • Complying at all times with the outlined Terms and Conditions that were presented to you during the Application Process.
  • Complying with the rules on the use of respectful language and an appropriate tone of voice across all content contained within the YEA’s public profiles for the project’s entire duration.
  • Fulfilling tasks and initiatives within designated timeframes.
  • Providing sufficient notice when unavailable to perform previously-agreed tasks and obligations (a minimum of 2 weeks notice).
  • Being aware that all activities within this project are voluntary, and that they will not involve remunerations of any kind nor the bestowing of titles. Expenses incurred from activities/travels will be covered by the project.
  • Providing sufficient notice to the YEA project team in the event you decide (for personal/professional reasons) to leave the project.
  • Acting in a way that is in line with the organisation’s aims and objectives, and which enhances the work it carries out.

Other stipulations:

The Young European Ambassadors is a voluntary initiative.
Participants will not be obliged to only use and post YEA content on their private social media profiles, but will instead be requested to do so with an agreed frequency. All content relating to the YEA is to be followed by a designated hashtag.
Participation in the YEA network does not limit or prohibit participants from participating in other youth initiatives.

However, respect for the Terms & Conditions, the European spirit, and positive youth behaviour, will be expected of participants at all times, bearing in mind Young European Ambassadors role while performing all other activities online and offline

The Young European Ambassadors is a non-political initiative. Any views expressed by Ambassadors outside of the project do not represent the overall opinions of the Young European Ambassadors network, or any other EU institution or agency. In case of Young European Ambassadors being involved into political initiatives, it is strongly advised to find all means to cooperate and celebrate each country and their culture as a new generation of young people who are uniting in differences.

In the context of this project, EU Regional Communication Programme for the Western Balkans acts on behalf of, and represents, the European Commission’s Directorate-General for Neighbourhood and Enlargement Negotiations (DG NEAR), and reserves the right to disqualify and/or exclude a participant in the event that they do not respect the Terms & Conditions as outlined to all participants prior to their selection as YEAs, with all inappropriate behaviour liable to this stipulation.
The European spirit, fair contest, respect, friendship, team spirit, equality, respect for written and unwritten rules such as integrity, solidarity, tolerance, care, excellence, and joy, are the building blocks of fair play that this contest promotes. Pomilio Blumm srl reserves the right to make decisions with regards to unforeseen circumstances, or to amend certain rules, should the need arise during the course of the project.

Responsibility and Force Majeure

The EU Regional Communication Programme for the Western Balkans and/or the European Commission will disqualify all individuals who exercise harmful online behaviour from serving as a representative of the YEA network.

The EU Regional Communication Programme for the Western Balkans and/or the European Commission cannot be held responsible for the cancellation, postponement, or modification of the contest, and/or the activities of the Western Balkans Communication Programme for the YEA Network, due to unforeseen circumstances.
